Privacy Policy

This Privacy Policy explains how Screenwell.ai (“Screenwell”, “we”, “us”, “our”) handles personal data when you visit https://screenwell.ai, contact us, use the Screenwell platform as a customer, or are interviewed by our AI interviewer Luna on behalf of a company that uses Screenwell.

Screenwell.ai is operated by Ninja Devs d.o.o. Tuzla, Trg Slobode 16, 75000 Tuzla, Bosnia and Herzegovina (JIB 4210641730008, MBS 32-01-0063-25).

We process personal data in line with the EU General Data Protection Regulation (GDPR) and other applicable data protection laws.

1. Who is responsible

  • Website visitors, contacts and customers: For data about visitors to our website, people who contact us and the users of customer accounts, Screenwell is the controller.
  • Candidates: When you are interviewed through Screenwell, the company that invited you to the interview is the controller of your data. Screenwell processes it on that company’s behalf and under its instructions, as its processor. For questions about how your application is handled, contact that company first; we will help them respond.

You can reach us about any privacy matter at info@screenwell.ai.

2. Data we collect

  • Account data: name, work email, company, role, password (stored as a hash), team members and settings.
  • Customer content: job descriptions, interview questions, scoring criteria, company decks, product or portfolio material and tests that customers add.
  • Interview data: for candidates, the name and contact details provided by the hiring company or entered by you, any CV you share, the audio and video of the interview, the transcript, what is shown or typed during tests, and the resulting scores, scorecards and recommendations, together with technical metadata such as time, duration and connection quality.
  • Contact form data: first and last name, email address, phone number and your message.
  • Billing data: plan, invoices and billing contact. Card details are entered directly with our reseller and merchant of record, Lemon Squeezy; we never see or store full card numbers.
  • Usage data: IP address, browser and device type, pages visited, referring page, time and date of visits, and product events such as features used.

3. How we use data

  • to provide the Services: running interviews with Luna, joining Google Meet or Microsoft Teams calls, hosting interview links, generating transcripts, scores and scorecards, and showing them to the customer’s hiring team;
  • to create and manage accounts, process payments and send service messages, such as receipts, security notices and changes to the Services;
  • to answer contact requests and provide support;
  • to keep the Services secure, prevent abuse and fix errors;
  • to understand how the website and Services are used and to improve them, using aggregated or de-identified information wherever possible;
  • to comply with legal obligations, such as accounting and tax rules.

We do not sell personal data, and we do not use candidates’ interview data to train general-purpose AI models.

4. Legal bases

  • Contract (Art. 6(1)(b) GDPR): to provide the Services to customers and to answer requests that you make.
  • Legitimate interests (Art. 6(1)(f) GDPR): to secure and improve the Services, to understand how our website is used and to communicate with business contacts, where these interests are not overridden by yours.
  • Consent (Art. 6(1)(a) GDPR): for analytics and marketing cookies and any other processing we ask your permission for. You can withdraw consent at any time.
  • Legal obligation (Art. 6(1)(c) GDPR): where we must keep or disclose data by law.
  • For candidate data, the hiring company determines the legal basis for the interview and informs candidates about it.

5. How Luna and AI are used

Luna is an AI interviewer. During an interview, speech is converted to text, a language model uses the customer’s questions, criteria and material to decide what to ask next and to evaluate answers, speech is synthesised for Luna’s voice, and a video avatar gives Luna a lifelike face that moves in sync with her speech.

After the interview, the answers are assessed against the criteria defined by the hiring company and summarised in a scorecard with a recommendation and quotes from the transcript. This output is decision support for the hiring team. Screenwell does not make hiring decisions, and customers are required to have a person review the results before deciding.

If you are a candidate and want a human review of your interview, an explanation of the result or an alternative interview format, please contact the hiring company; we will assist them in responding to your request.

6. Service providers

We share personal data with carefully selected service providers only as far as needed to run the Services. They act on our instructions under data processing agreements. The main categories are:

  • Hosting and infrastructure: cloud hosting, databases, storage and email delivery;
  • AI providers: language models, speech recognition and speech synthesis used to run interviews and create transcripts and scorecards;
  • Video avatar providers: render Luna’s real-time video avatar;
  • Meeting platforms: Google (Google Meet) and Microsoft (Microsoft Teams), when a customer invites Luna to calls on those platforms. Their own privacy policies apply to your use of them;
  • Payments: Lemon Squeezy, our reseller and merchant of record, which processes payments, taxes and invoices under its own privacy policy;
  • Analytics and advertising: Google (Google Tag Manager, Google Analytics and Google Ads) and Microsoft (Microsoft Advertising), to understand how our website and app are used and to measure our ads. Cookies are only set if you accept them; until then, Google’s tags only send cookieless signals without identifiers (Google Consent Mode), and Microsoft’s tag is not loaded at all;
  • Product analytics: PostHog, hosted in the EU (Frankfurt), only if you accept analytics cookies: to see which pages and features are used and where people get stuck, including recordings of sessions in which everything typed into forms is hidden, and in our app all text and images as well.

We may also disclose data where required by law, to protect our rights or the safety of others, or in connection with a merger or acquisition, subject to confidentiality. The current list of our sub-processors is provided to customers under our data processing agreement (DPA), or on request at info@screenwell.ai.

7. International transfers

Some of our service providers are located outside the European Economic Area or process data there. Where this happens, we make sure appropriate safeguards are in place, such as an adequacy decision of the European Commission or the EU Standard Contractual Clauses, together with additional measures where needed.

8. How long we keep data

  • Interview data: kept for as long as the hiring company decides, according to its retention settings or instructions, and deleted when the company deletes it or its account ends, at the latest 30 days after termination unless the law requires longer storage.
  • Account data: kept while the account is active and deleted or anonymised after it is closed, except where we must retain records for legal reasons.
  • Billing records: kept for as long as tax and accounting law requires.
  • Contact requests: kept for up to 24 months after our last exchange, unless they lead to a customer relationship.
  • Usage data: kept in identifiable form for no longer than 26 months.

9. Security

We protect personal data with technical and organisational measures appropriate to the risk, including encryption in transit and at rest, access controls based on the principle of least privilege, separation of customer data, logging and regular reviews of our security practices. Only authorised members of a customer’s team can see that customer’s interview data.

10. Your rights

Under the GDPR and similar laws you have the right to:

  • access the personal data we hold about you and receive a copy;
  • have inaccurate data corrected;
  • have your data deleted;
  • restrict or object to certain processing, including processing based on legitimate interests;
  • receive your data in a portable format;
  • withdraw consent at any time, without affecting processing that took place before;
  • not be subject to a decision based solely on automated processing that significantly affects you, and to obtain human review of such a decision;
  • lodge a complaint with a data protection supervisory authority.

To exercise your rights, contact us at info@screenwell.ai. If you are a candidate, you can also contact the hiring company directly; if you contact us, we will forward your request to them and support them in responding. We may need to verify your identity before acting on a request.

11. Cookies

Our website and app use cookies and similar technologies that are necessary for them to work, for example to keep you signed in and to remember your language and your cookie choice. With your consent we also use analytics cookies (Google Analytics, to understand how the website and app are used) and marketing cookies (Google Ads and Microsoft Advertising, to measure which ads bring visitors and sign-ups). Google’s tags are loaded through Google Tag Manager in Google’s Consent Mode: until you accept, they set no cookies and only send cookieless signals without identifiers, which Google uses for aggregated measurement. Microsoft’s tag (UET) is only loaded after you accept marketing cookies. Your choice is stored in a cookie on screenwell.ai and also applies in our app. If you came through one of our ads or campaign links and accepted cookies, we keep the campaign details (such as the campaign name) with your account when you sign up. You can change or withdraw your choice at any time under “Cookie settings” at the bottom of every page, and you can also block cookies in your browser settings.

With your consent to analytics cookies we also use PostHog, hosted in the EU (Frankfurt). It is only loaded after you accept, and it records page views, clicks and sessions, so we can see where the website and app are hard to use. In these recordings everything typed into forms is hidden; in our app all text and images are hidden too, so no candidate data is recorded. PostHog recognises signed-in users only by our internal user ID, not by name or email address.

12. Children

The Services are not directed at children. We do not knowingly process data of anyone under 16. If you believe a child has provided us with personal data, please contact us and we will delete it.

13. Changes to this Privacy Policy

We may update this Privacy Policy when our Services or legal requirements change. The current version is always available on this page with its date of last update. We will inform customers of material changes by email or in the application.

14. Contact

For any questions about privacy or this policy, contact us at info@screenwell.ai.
